Before Week Zero (the last 2 weeks of the quarter prior)
Check every class on the online class schedule that is full online, hybrid online, and web enhanced to make sure that every class in the database has the correct instructor and correct mode listed. If it is not correct, change the “Item Numbers” table to match the online class schedule. Instructions on how to do this:
Go to the Dlearning drive > select the Class Schedules folder > open the DL class schedule database > Run a query for only that quarter, include the YRQ, DL Course, Item, Mode, InstructorLastName and InstructorFirstName .
Create an unduplicated list of all of the instructors of full online, hybrid online, and web enhanced courses. Also include the instructor’s email address.
Suggestion: Run a query in the database for just that quarter and get the InstructorLastName and InstructorFirstName with unique values for first name and last name first. If you do not know how to do this, just export the duplicated list to Excel and delete the duplicates. Make a column for their email addresses. To get their email address, look them up in the directory or click on their name as it is listed in the class schedule next to “Instructor:”, and add the instructor’s email address in the chart. Email this chart to Andy Duckworth.
Check the WAOL online class schedule to make sure all WAOL online and TCC Full Online courses appear in this list at https://www.waol.org/coursecatalog/default_n.asp . If it does not appear, add the course and the description to COURSEDESC.
During Week Zero
On the first day of week zero, make all hybrid online and full online courses available
Check later in the week to make sure instructors have not made any full online or hybrid online courses unavailable. If one of these courses is unavailable:
Make the course available
Send the instructor an email explaining that it is policy that all full online and hybrid online courses must be available to students during week zero
Check every full online and hybrid online course to make sure that they have the week zero button in them. If a course does not, add it. To do this:
Go to the week zero Blackboard course (SHELL.WEEKZERO) > select Control Panel > click Course Copy in the Course Options section > Select Copy materials into an existing course > Choose the destination course ID > Check the box next to “Week Zero” > Click Submit
Set up the Blackboard courses for manual enrollment that need to have this function and
Send the password to the instructor
